Position Summary: Provides administrative support to the Director of Sales and Sales Department.
Produces information letters on GUHCC and mails them with a sales kit per Sales Manager's request.
Processes all Direct Bill Application requests and obtain approvals.
Verifies from the booking report, that all files are made and that all bookings are turned definite in a timely manner.
Types and mails thank you letters.
Processes proposals and interest letters.
Processes office supply orders.
Processes file folders for definite groups and distribute them to appropriate departments.
Coordinates Direct Mail effort and follow through keeping appropriate records.
Fields all incoming calls and pass them to appropriate Manager or take messages and pass accordingly.(20 managers and 800#)
Retrieves messages from 800# and other #s to forward to appropriate Manager.
Faxes, copies, creates correspondence, prepares shipping/overnight packages, and provides back-up support for the Sales Managers.
Records and tracks site tour passes.
Copies all contracts to send via interoffice mail to MGR CLCS weekly.
Maintains log of all contracts, proposal, etc. for Managers.
Conference Planning Specifics
Keeps an updated log with accounting on all contracts being sent to accounting.
Sends Logistics packet to incoming groups.
Compiles Coversheet for the rooming lists coming in from the outside and distributing them into reservations
Fills in the group information report for planning managers.
Sets up sheets and BEO’s for planners.
Distributes to the center all group information.
Attends weekly Sales meetings.
Makes door signs for the planners.
Distributes changes and pop ups for groups.
Creates spreadsheets for travel information.
Sends out additional information to incoming groups.
Makes drink tickets for groups to use in the pub.
Keys requests and welcome letters.
Additional tasks and responsibilities may be assigned at the discretion of the manager.
Follows Aramark policies and procedures and safety and sanitation policies and procedures.
Previous experience in customer service position helpful.
Requires basic computer and internet skills with typing speed reaching 50/60 wpm.
A working knowledge of the Delphi system is helpful.
